Culpeper Soccer Club COVID-19 Update

Dear Culpeper Soccer Club Members,

Due to the recent restrictions on activity extending to June 10th and the difficulty associated with holding a summer season under the new guidelines, we have created the following options for members that were registered for the Spring Recreation season. We sincerely hope that the vast majority of Spring Recreation registrants will accept a full registration credit towards the Fall Recreation season. 

Your local soccer club needs you more than ever right now so that we can continue to provide soccer to our community when restrictions resulting from COVID-19 are lifted. We appeal to our entire community to support our efforts to bring back soccer this summer and fall and support us by accepting a credit towards the Fall Recreation season. We understand, however, the incredible economic challenges this situation has caused. Please review the refund process and steps to take if your family is unable to participate in the Fall Recreation season or is facing a difficult financial hardship. We are applying for all available assistance programs to continue moving forward as a club, but we need your help, and we hope to see all our families back on the fields this fall!

Recreation Registration Credits:

1. All members registered for the Spring Recreation 2020 season will receive a credit towards the Fall Recreation 2020 season and will be automatically enrolled in the Fall 2020 Recreation season. Members do not need to notify us if they accept the credit. We will credit and enroll registered players automatically, and you will receive information on the fall season as restrictions related to COVID-19 are lifted. Uniform jerseys are ordered and will be distributed before the fall season.

2. If you are unable to participate in the Fall 2020 season, we are able to credit your account with a Summer Recreation Soccer Camp. The anticipated date of our Recreation Soccer Camp is July 20th-July 24th. If you wish that your player account is credited towards the Summer Recreation Soccer Camp, please fill out the brief Google form, and we will register your player(s) for the camp this summer.

3. If you simply want to support the club, but are unable to participate in the Summer 2020 Recreation Soccer Camp or Fall 2020 Recreation season, please send us a quick email that you would like your registration fee to be a donation to CSC. We cannot thank you enough for your support!

Recreation Refunds:

1. If your family is facing financial hardship and is unable to participate in the fall season, please fill out the Google form, so that we can begin the refund process. A $10 administrative fee per player will be deducted from all refunds, and uniform costs may not be refunded. We have purchased and stocked all uniform jerseys prior to the spring season and they can be picked up once COVID-19 restrictions are lifted. The refund request form must be filled out and submitted by April 25th, 2020 to receive player registration refunds. We incur administrative, accounting, and employee expenses during the refund process, but we will endeavor to process refund requests as quickly as possible following the request deadline.

Dear Culpeper Soccer Club Members,

We thank you for your patience while the situation with COVID-19 (Coronavirus) has developed. It has significantly altered our normal season operations and we are truly grateful for your support. We are doing our best to manage operations and communications as we work to make adjustments in the best interests of our membership and club. We have been in constant communication with leagues, partner clubs, local government, Virginia Youth Soccer Association and other governing bodies. Our communications have been centered on the the health and safety of our membership, also considering best practices for moving forward after this crisis. 

The economic impact of the health crisis and potential outcomes weighs heavy as well. In light of ongoing efforts, it is the recommendation of clubs across the state that soccer clubs do not provide Spring refunds, but rather be creative with future opportunities to offset the lost services this Spring. Doing so would allow clubs to have soccer accessible to your child as soon as we are able to return to play, as well as being able to ultimately provide the services that were postponed due to the pandemic.  

We believe now, more than ever, we need to focus on the future and pulling through this together so that our children will have a sense of normalcy as our community emerges from this devastation.

Please see the updates below regarding the spring season. 

Recreation Soccer:

At this time, we are putting together strategic plans for an abbreviated late spring/early summer season to supplement the loss of a regular spring season. We are also considering Recreation soccer camps for our membership this summer, dependent on how the crisis resolves and our capacity to hold camps at the sports complex this summer. We understand that a shortened summer Recreation season is not ideal for all membership. Our mission is to provide a modern, integrated, and FUN program that produces and retains team players who demonstrate the ability and mentality to succeed in soccer and in life. We hope our soccer community embraces our efforts through this challenging time; we will bring soccer back to our community as soon as we are able, and when the public health crisis subsides.

Academy & Travel Soccer:

CCL and NCSL league play will likely be suspended for the majority of the spring season, but planning is ongoing for abbreviated late spring/early summer league play, potential festivals, and other offerings to bring league value to our membership and clubs across VA, MD, and DC. The likelihood is that many spring tournaments will be cancelled, and we are evaluating our potential fall tournament offerings to adjust for missed tournaments this spring. Physical tryouts in early May will be difficult, if not impossible, with school closures, field availability, and uncertainty surrounding the COVID-19 threat. Due to the extreme circumstances, we are working collaboratively with dozens of other clubs to present a unified plan providing a Renewal Commitment option to our current Academy and Travel Players. This option would allow players that are currently rostered on CSC teams to be guaranteed a roster spot for the 2020/21 seasonal year, renewing our commitment to bring premier, competitive soccer programming to Culpeper youth, and trusting that our loyal members will continue to support the CSC Academy and Travel programs. Details of the CSC Renewal Commitment will be sent to all Academy and Travel Players later this spring, and we will regularly update members in our competitive programs with important information.

Refund Policy:

CSC is a small non-profit, and we operate on a conservative budget that serves over a thousand youth players every year. We do this by retaining a small staff, and working within our means to deliver a quality soccer product to our community. A public health crisis or natural disaster situation does not fall under our refund policies for Recreation, Academy, or Travel programs. It is for that reason that we are working diligently to plan supplemental offerings for Recreation, Academy, and Travel programs this summer and beyond. We will endeavor to show value and loyalty to membership with supplemental programming once this crisis ends. We are exploring potential registration credit offerings for returning players to participate in the fall 2020 season, and we are looking at State and Federal assistance programs to supplement the club during the crisis. We are working to bring value back to our membership, and although we cannot offer refunds at this time, we will be in regular communication as the situation develops. 

We are all in this together and we wish our entire community heath and safety during this challenging time. If you are able, we implore you to help small businesses and nonprofits in our community. We sincerely thank you for your support.

Dear Culpeper Soccer Club Members, 
 
Culpeper Soccer Club (CSC) has closely monitored the risks posed by the COVID-19 outbreak and reviewed the advisories and guidance of the US Soccer Federation, US Youth Soccer, Virginia Youth Soccer Association, Centers for Disease Control and Prevention (CDC), and state and local agencies. Additionally, we have communicated with our soccer partners and neighbors in nearby counties whom have temporarily suspended soccer activities.
 
In consideration of the health and safety for our membership, the CSC Staff and Board of Directors has made the difficult decision to temporarily suspend all CSC soccer operations and activities, effective March 13th through March 29th, with the understanding that this date could be extended due to the constantly changing situation.

The suspension of soccer operations and activities includes preseason coach meetings, practices, games, and tournaments. We will be evaluating the situation daily and will provide updates to our members as the situation develops. We will adhere to all directives from our governing bodies if a longer suspension of activities is required.

Culpeper County Parks & Recreation and the Town of Culpeper have closed county sports fields at this time. Per the press release found at the link below, the field closures, "could potentially be in place through May 9, 2020."

CSC fully supports our local county and government ordinances, and we ask that CSC members do not use the fields at the Culpeper Sports Complex for any soccer activity until sports fields are officially re-opened by Culpeper County Parks & Recreation. There will be park monitors at the Culpeper Sports Complex to ensure county fields are not being used at this time. We will send regular communication to all our members as more information is received in regards to an adjusted or extended spring soccer season.

As a strong and vibrant community, we are all in this together and we look forward to seeing our soccer family back on the fields soon.

Recreation Programs: Staff will begin work to build an adjusted game schedule that accommodates potential make-up games. Adjusted game-day schedules will be posted when we have more information on field availability and potential long-term mandates in regards to suspension of activities. Recreation coaches will receive information via email that would normally  be covered in the preseason coaches meeting. We encourage Recreation coaches to email staff and schedule phone calls if more coaching information is needed.
 
Academy & Travel Programs: Staff will be in close communication with leagues and clubs to manage the reschedule process of league games. Adjusted game schedules will be released to Academy and Travel coaches as they become available. We anticipate receiving more information regarding league schedules shortly from the leagues we participate in.
 
The health and safety of players, families, coaches, and staff is our highest priority, and while the temporary suspension of soccer activities is truly disappointing to all of us, we are grateful to our membership for their constant support. We are also thankful to the clubs and leagues in VA and MD that have been in communication with us over the last week while we put a plan into place.
